IMPORTANT - On your official end date, your account will be disabled and no longer accessible, this includes access to any emails or files in your account.

Devices

On your last working day, you must return any devices or equipment that was loaned to you from IT during your time at Barton Peveril. This can include, but is not limited to:
  • Chromebook & charger
  • Tablet
  • ID Badge
  • 2-Step USB Key
  • Headset
  • Chromebook Stand
  • Mouse
  • Keyboard

Moving Files

Once your account has been disabled, all your files will be unavailable, this includes any files you have shared to other staff members from your Google Drive. If there are files that you have shared that you know are used heavily by your department, you must move these files into your department’s Shared Drive, not creating a shortcut to the file. Moving this into the Shared Drive will still allow colleagues to access those files once your account has been disabled. If your department does not have a Shared Drive, please contact IT

To move your files or folders, there are two methods, which are explained below:


Method 1: Dragging and Dropping (for individual files or small folders):
  1. Open your work Google Drive.
  2. Locate the file or folder you want to move.
  3. On the left-hand side, expand the “Shared drives” section and find the shared drive you want to move the items to.
  4. Click and drag the file or folder from its original location to the desired shared drive.
  5. A confirmation message will appear. Click “Move” to confirm.


Method 2: Using the “Move to” Option (for larger folders or multiple files):
  1. Open your work Google Drive.
  2. Select the file(s) or folder(s) you want to move.
  3. Right-click and select “Move to.”
  4. In the drop-down menu, navigate to the shared drive where you want to move the items.
  5. Click “Move here” to confirm.


Important Considerations:
  • Manager Permissions: You need to be a manager of the shared drive to move files or folders into it. If you are not a manager, request access from the shared drive administrator, this may be the Head of your Department.
  • Ownership: When you move files into a shared drive, the ownership of those files transfers to the shared drive itself. This means everyone in the shared drive will have the same access level to the files, determined by their role in the shared drive.


Additional Tips:If you are moving a large number of files, it may take some time for the transfer to complete.

Downloading files

There might be files you want to keep or lesson plans/resources you would like to take with you. Here is what you will need to do:


Part 1: Downloading from Your Work Google Drive
  1. Log In: Access your work Google Drive account through your web browser.
  2. Select Files/Folders: Navigate to the files and folders you want to download. You can select multiple items by holding the Ctrl key (Windows & Chromebook) or Cmd key (Mac) while clicking.
  3. Download:
    • Individual Files: Right-click on a file and select “Download.” The file will be downloaded to your computer, usually in its original format.
    • Folders: Right-click on a folder and select “Download.” Google Drive will compress the folder into a ZIP file, which will then download to your computer.


Part 2: Uploading to Your Personal Google Drive
  1. Log In: Open a new browser tab or window and log into your personal Google Drive account.
  2. Navigate to Upload Location: Go to the folder in your personal Drive where you want to place the transferred files. If you don’t have a specific folder in mind, you can upload them directly to “My Drive.”
  3. Upload:
    • Individual Files: Click the “New” button (usually a plus sign) and select “File Upload.” Browse your computer for the downloaded file(s) and click “Open” to begin the upload.
    • Folders (ZIP Files): First, you need to extract the files from the ZIP file using your computer’s built-in tools or a program like 7-Zip or WinRAR. Once extracted, you can upload the individual files or the entire unzipped folder by following the steps above for individual file uploads.


Tips:
  • Large Downloads: If you have a very large amount of data, it might be better to download in smaller batches to avoid potential errors.
  • Internet Connection: Ensure you have a stable internet connection for both downloading and uploading, as large files can take a while.
  • Check Transferred Files: After uploading, check your personal Drive to make sure all the files transferred successfully and are in the correct location.
